Guidance notes for the completion of European Community (EC) Certificate of Origin.
Doncaster Chamber of Commerce is an issuing authority authorised by Her Majesty’s Government under EC Regulation No.2454/93 for granting or certifying officially prescribed Certificates of Origin, which operates in this regard under the guidance and conditions of the Association of British Chambers of Commerce.
Before the Chamber can undertake this work for any company, certain formalities must be completed in compliance with Standard Rules for Certificates of Origin and the following information must be lodged at the Chamber office.
A Formal Undertaking which we supply, must be completed and signed by either a Director, Company Secretary or Partner, Proprietor or person duly authorised to act on behalf of the Company. It is not in order to authorise oneself to sign unless of course, you are the sole proprietor. It is also advisable to have more than one person to sign documents in the case of sickness or holidays. The EC Certificate of Origin came into use on 1st January 1973 and is the official form used by exporters when the importers require or whenever the commercial transaction or customs regulations so require.
CORRECT COMPLETION OF THE EUROPEAN COMMUNITY CERTIFICATE OF ORIGIN
- This certificate should be typed/printed or clearly hand written in Block Letters
- Every page should be identical
- Do not use correction fluid. Errors should be crossed through in ink and signed
- 3 part set comprising: security patterned original / yellow / pink
BOX 1 CONSIGNOR
Insert here the name and address of the Exporter. This must be a UK address.
BOX 2 CONSIGNEE
Insert here the full name and address of the overseas consignee (ultimate delivery address).
BOX 3 COUNTRY OF ORIGIN
For UK manufactured goods insert – European Community-United Kingdom. For goods manufactured in the European Community state – for example European Community – Germany member country. For goods manufactured outside the community state country, for example Japan. You will need to provide supporting evidence to prove origin of these goods, in the form of a copy certificate of origin or sales invoice for our records
BOX 4 TRANSPORT DETAILS
Completion of this box is recommended. If means of transport not yet known use Earliest Available Transport or the wording Sea freight /Road freight or Airfreight.
BOX 5 REMARKS
This box can be used for information outside the Chambers knowledge such as customers order number, letter of credit number etc. The wording “Consignors Statement” should precede any information added here.
BOX 6 ITEM NUMBER MARKS NUMBERS PACKAGES DESCRIPTION
An adequate commercial description must be given for each item together with the relevant marks and numbers of address. If known the HS Code can be added. The wording SAID TO CONTAIN /APPROXIMATELY is not allowed. Political Statements such as Israeli Boycott are not allowed.
BOX 7 QUANTITY
This box should show the Gross/Net weight in Kilos or any other appropriate weight, for example litres.
BOX 8 SIGNATURE
TO BE SIGNED BY AN AUTHORISED SIGNATORY ON THE PINK APPLICATION FORM ONLY. A LIST OF AUTHORISED SIGNATORIES IS HELD ON FILE BY THE CHAMBER OF COMMERCE. THE PINK APPLICATION FORM WILL BE RETAINED BY DONCASTER CHAMBER. PLEASE ENSURE YOU COMPLETE THE REVERSE OF THE PINK APPLICATION FORM. CORRECTION FLUID ALTERATIONS ARE NOT ALLOWED. ERRORS SHOULD BE CROSSED THROUGH AND INITIALLED.
Doncaster Chamber of Commerce is authorised to issue European Community Certificate of Origin.
